A month-end close checklist for small businesses

By Maria Juanita. October 1, 2026. 4 min read.

"Closing the books" sounds technical, but it simply means confirming that last month's numbers are complete and correct, then locking them so they don't change. Done monthly, it keeps small problems small.

The checklist

  1. Collect every statement. Bank, credit card, loan and merchant processor statements (Square, Stripe, PayPal) for the month.
  2. Record and categorize all transactions. Every deposit and expense lands in the right account, with receipts attached.
  3. Reconcile each account. The balance in your books must match the statement to the penny.
  4. Review receivables and payables. Who owes you, whom you owe, and what is overdue.
  5. Record payroll. Wages, employer taxes and withholdings from each payroll run.
  6. Set aside sales tax. Confirm what you collected and that it matches what you'll file.
  7. Produce financial statements. Profit and loss, balance sheet and cash flow.
  8. Review and lock the period. Look for anything unusual, ask questions, then close the month so it stays accurate.

Why monthly beats yearly

Errors are easiest to fix while the details are fresh. A missing deposit from last month takes minutes to trace; one from last March can take hours. Monthly statements also show trends early, such as rising costs or a slow-paying customer, while you can still act.

Every step on this list is included in our Monthly Gardening plan, along with a 30-minute strategy meeting to walk through your numbers each month.
